On behalf of Nimbus Nonprofit Solutions (NNS), I am pleased to submit this proposal for services to the Rose of Sharon Soup Kitchen in support of their IT improvement objectives.

Scope of Services: Website and Contact Management Planning

The following sections detail the services NNS can provide for Rose of Sharon, along with the associated timelines and investments required to provide the required improvements in IT services.

Overall Technology Assessment

- Meet with key stakeholders, understand mission, strategy, and goals - Reviewing existing technology systems and infrastructure - Performing interviews as needed with leadership, staff, and volunteers - Document interview results, develop IT roadmap

Website Improvements

Current Site Analysis (3 hours) - Evaluate for responsiveness and accessibility - Determine content that is valued by visitors (to retain) - Recommend both short-term improvements From the initial survey this includes: - Remove blog and events (including references to them) - Make path to donation clearer - SSL certificate management - Propose new site plan and web presence strategy Immediate next steps (3 hours) - Make the short-term improvements to the site - Choose webhosting/creation platform based on needs, costs, and ongoing maintenance Develop New Site (7-10 hours, depending on size of new site) - Creation of the new site - Linking domain and setting up any redirects - Integrate PayPal - Training for minor updates

Contact Management Planning

Contact management is the process of recording contact data for easy access and accurate tracking. It provides a bird's-eye view of all of the organization's contacts, providing insight into who they are and what relationship they have with your organization. Identify Rose of Sharon Audiences - Understanding who receives ROS messaging is key to developing the right messages to send to them. Outline Contact Management Goals - Is there a need to increase audience sizes, or raise more funds through direct appeals, or develop deeper relationships with current supporters? Setting contact management goals will keep the planning work focused on the most beneficial outcomes. Understand the Contact Journey - Ideally, every Contact will have a long and mutually successful relationship with Rose of Sharon. Understanding and planning for the types of possible Contact relationships and how they change over time helps to sustain Contact involvement. Plan Communication Guidelines - All communications should reflect and support the Contact Management Goals. Planning for effective contact rules keeps messaging focused on intended outcomes Plan Measurement Principles - Plan how to assess the success of the Contact Management strategy by setting up a measurement framework to track donations, volunteers, and other contact engagements. Develop system objectives - Website data capture through Google Forms or MailChimp - Training resources for using website form links to Google Sheets or MailChimp - Introduce Contact Management database administration principles

Outreach Campaigns through Mailchimp

- Opt-in campaign to enroll Contacts in messaging - Event campaigns for holiday Events - End-Of-Year fundraising Campaign

Project Timeline

With support from NNS, Rose of Sharon Soup Kitchen can rapidly realize improvements in their website and core productivity resources. Where possible, NNS will work with ROSSK stakeholders to make overlapping progress on both initiatives.

Rose of Share Soup Kitchen Investments

NNS offers convenient terms for clients, typically invoicing for one third of the total investment on Agreement execution, one third at an agreed-upon mid-point in the project, and one-third upon completion. All terms subject to negotiation.
